Description
Before Confederation, there were two registrars general, who were appointed as the provincial secretaries of Upper Canada and Lower Canada. The offices of Civil Secretary for the provinces of Upper and Lower Canada were merged in 1841; there was a single office for the province of Canada. The offices of the Provincial Secretaries were maintained: that of Upper Canada continued for Canada West and that of Lower Canada for Canada East.
This collection consists of texts of outgoing correspondence that were entered in the letterbooks maintained by the Provincial Secretary's staff, 1839-1847, for future reference.
The shelf lists in the Guide for RG 5 identify the reel numbers for the portions which have been filmed and provide a listing of the records to the volume title level. For the drafts and the unnumbered correspondence, there is no more detailed description. As the shelf list indicates, most letterbooks contain an index. MSS2434 90
Until September 1989, a series of Registers and Indexes, prepared in the Provincial Secretary's Office to provide access to the numbered correspondence and the letterbooks, was shelved as Finding Aids 995 and 996. The microfilm copies of these remain accessible. The subject and nominal entries in the Index volumes provide access to the corresponding Register volumes for each year, while the Registers identify the author, date, subject and fate of each file. An explanation of how these contemporary indexes and registers function and how to trace from the incoming to the outgoing correspondence, or vice-versa, prefaces the shelf lists and was included on each reel of microfilm.
